The Opportunity


You will be the first point of contact for the company, creating a warm and welcoming atmosphere for all of our guests, with the key aim of attracting and retaining new customers and employees. In addition, you will perform a wide range of administrative and office support activities for the department and company to facilitate the efficient operation of the organization.

Main Job Tasks and Responsibilities

  • Answer, screen and transfer inbound phone calls
  • Receive and direct visitors and guests
  • Receive Interviewee, contact HR about interview. Scan interviewee application and NDAs for HR.
  • Distribute Marketo phone list
  • General clerical duties including photocopying, fax and mailing
  • Maintain electronic and hard copy filing system
  • Retrieve documents from filing system
  • Handle requests for information and data
  • Resolve administrative problems and inquiries
  • Prepare written responses to routine enquiries
  • Prepare and modify documents including correspondence, reports and emails
  • Schedule and coordinate meetings
  • Coordinate and help maintain office supply inventories
  • Maintain office lobby (seasonal decorations, water plants, etc.)
  • Maintain High Five Conference Room
  • Assist HR with New Hire Social and lunches
  • Assist with various company functions: All Hands, Company Picnic, Company Events, Holiday Party, Board Meetings, etc.
  • Assist with internal employee relocations


Requirements:

  • Proficient with Microsoft Office, Outlook, PowerPoint, Excel
  • Knowledge of operation of standard office equipment.
  • Knowledge of clerical and administrative procedures and systems
  • Knowledge of principles and practices of basic office management
  • Communicate professionally in a clear and concise manner
  • Able to prioritize responsibilities and projects
  • Attention to detail and accuracy
  • Ability to plan and manage work under time constraints
  • Proactive
  • Superior customer service skills and orientation
  • Teamwork; collaborative style
